Unification FAQs

How do I get started?
Go to Traqspera User Management. If you see a button to Unify with Spectrum HR, select the button and follow the steps.

How long does it take to unify?
Unification typically takes about 5 minutes, depending on the number of users and any mismatched email addresses.
Can you unify my users for me?
Yes, we can unify your userbases for you. However, we will need to make decisions for you on which user email to choose if the user has one email in Traqspera and a different Email in Team User Management. You can easily update user emails post-unification.

You can find a list of changes we made during the unification in the Merge Report found at the top of User Management.

Is Unified User Management the same as Traqspera User Management?
Yes, Traqspera User Management was built specifically to manage both HR and Field employees and to unify the two products.
Do I need to continue to create Employee Logins in Spectrum?
No. Once you unify, you do not need to create employee logins in Spectrum anymore.
What resources can I share with new hires who need to create their Trimble ID?

These instructions are not for customers federated with Trimble ID through Azure.

Note: New users will land in Traqspera and cannot get to pay stubs from Traqspera web. We are working on unified navigation that will fix this issue. Please inform your new users that they can only see pay stubs in the Traqspera Mobile App or in https://hr.viewpoint.com.
Can I deactivate the Employee Kiosk (EK) operators in Spectrum Operator Maintenance?
Yes. After you are unified, you do not need EK operators and can deactivate them in Spectrum.
Do I still need to migrate my Spectrum Office Operators Users Through Team?
It is best practice to continue to invite your Spectrum Office Users through Team. This ensures they get access to Analytics and Automatic Invoicing, among other features in Trimble Construction One.
How do I set up a brand new HR Admin or HR Specialist to get access to Onboarding?
Navigate to https://hr.viewpoint.com and open the HR Role Management page. Change the user's Role to HR Admin or HR Specialist. If in the TC1 Access column the user says Not Required or Get TC1 Access select the button. If this is a brand new user, they are sent an invitation from Viewpoint. They must follow the process to set up their account.

What if I don't see the Unify with Spectrum HR button?
If you do not see the Unify with Spectrum HR button, then you either have more than one tenant in Traqspera or you have not enabled Mandatory Trimble ID.

Will my terminated users be migrated into the new User Management?
Any users with the Role of Employee and the Employee Status of Terminated, Inactive, or Deceased will automatically be assigned Limited Access when migrated.

This access level restricts portal access to the employee's pay stubs and tax documents in Earnings, their Timesheet Review page, and their contact information in Personal Info.

Why is a terminated user's email address being given to a new employee?
To fix this error:
  1. In Spectrum, remove the work email address from the terminated employee's profile.
  2. Assign that work email address to the employee in their employee record.
  3. In Traqspera, find the terminated employee in User Management.
  4. Change user's the email address. Select Relink to disconnect the Trimble ID from this account.
    Note: If you don’t know the email address for the terminated employee, you can enter a fake email address. However, ideally, when you off boarded the terminated employee, you would have already updated this email to a personal email address.
  5. Select Invite from Spectrum and invite the new employee with the previously used email.
Do I still need to unify if I don't use Traqspera?
Yes. All customers must move to Unified User Management. Even if you are not using Traqspera for timekeeping, the Traqspera User Management system is a huge improvement over the legacy system. And it will allow you to offer new Employee Self Service features such as corporate documents access, certification management, and time off requests.

What if I don’t have Traqspera Set Up?
We are currently working on a plan to help all our customers get configured on Traqspera so they can at a minimum take advantage of Unified User Management.
What are the best practices for moving to Mandatory Trimble ID in Traqspera?
To determine the best practice, consider the number of users that will be affected.
  • If only a handful of users are affected, you may want to unify and work directly with the handful of affected users.

    Attend a Customer Help Drop-In Session and we can enable Mandatory Trimble ID and help you through unification.

  • If a large number of users are affected, you should develop a strategy.

    Attend a Customer Help Drop-In Session to discuss your strategy and any concerns. We will then set up a Go Live Meeting to enable Mandatory Trimble ID and walk you through unification.

How do I know if Mandatory Trimble ID is enabled in Traqspera?
Attend a Customer Help Drop-In Session and we can help you determine or put in a support ticket.
How can I analyze the number of users that will be affected when I enable Mandatory Trimble ID in Traqspera?
  1. Review the users in Traqspera that are not on Trimble ID.
    Tip: Look for users with an Invite button.
  2. Open https://hr.viewpoint.com and navigate to the HR Role Management page.
  3. Copy the email of the users who do not have a Trimble ID into HR Role Management.

If the user exists, they will be automatically upgraded to a Trimble ID login when you unify. After unification, be sure to alert the employee that they must log into Traqspera using their Trimble ID.

If the user is not in HR, they will be locked out of Traqspera once you unify. These users must create a Trimble ID and link it to their legacy Traqspera account. This is a complicated process. We recommend doing this before your unification date or creating a set time to help users on the day you unify.

User Issues Seeing Pay Stubs FAQs

Find answers to common questions about viewing pay stubs post-unification.
Why can't my users see pay stubs in Traqspera web?
Earnings are not yet available on Traqspera web. In the meantime, users can see pay stubs at https://hr.viewpoint.com and on the Traqspera Mobile App.
When will new users in Traqspera be able to see pay stubs?
We agree this is confusing for new users and are working to fix it as soon as possible. In the meantime, users can see pay stubs at https://hr.viewpoint.com and on the Traqspera Mobile App.
"Sorry, No pay stubs available" - Why is my employee seeing this message?

If the employee sees the message, "Sorry, No pay stubs available," it is because the employee is in more than one company and has what is called an Enterprise Switcher. The enterprise switcher can be found at the bottom of the navigation bar on the left side. We are working to move the Enterprise Switcher to be more visible to the Employee.

Why can't my user see pay stubs on the Traqspera Mobile App or in https://hr.viewpoint.com?
Follow these steps to troubleshoot this issue.
  1. Open https://hr.viewpoint.com and navigate to HR Role Management.
  2. Look up the user email.
  3. If the user does not exist:
    1. Go back to Traqspera User Management and find the user.
    2. Deactivate the user then grant them Full Access to re-enable the user.
    3. Wait two minutes.
    4. Return to HR Role Management and refresh the page. The user should display.
    5. If the user is still not there, please create a support ticket. It is possible that Spectrum has not sent HR the employee record. You can verify by going to https://hr.viewpoint.com and selecting Personal Info Approvals. Search for the employee under the proper company. Please include in the support ticket if you can see the employee record or not.
  4. If the user shows 0 employees (there must be an employee record attached to user for the user to see pay stubs):
    1. Go back to Traqspera User Management and find the user.
    2. Choose from the following:
      • If the user is not linked to an employee, link them to the proper employee.
      • If the user is linked to an employee, deactivate the user then grant them Full Access to re-enable the user.
    3. Wait two minutes.
    4. Return to HR Role Management and refresh the page. The user should display.
    5. If the user is still not there, please create a support ticket. It is possible that Spectrum has not sent HR the employee record. You can verify by going to https://hr.viewpoint.com and selecting Personal Info Approvals. Search for the employee under the proper company. Please include in the support ticket if you can see the employee record or not.
